1. About this policy

Laser Safety Compliance Australia ("we", "us", "our") provides laser safety information and free resources, laser safety awareness training and laser safety eyewear to Australian workplaces.

This policy explains what personal information we collect, why we collect it, how we store and protect it, and how you can access it or make a complaint. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

This policy applies to our website, lasersafetycompliance.com.au, to our online course platform hosted by LearnWorlds, and to your dealings with us by email, phone or in person. By using our website, enrolling in a course or placing an order, you agree to the handling of your personal information as described in this policy.

2. What personal information we collect

We collect only the information we need to deliver our services.

When you use our free resources

Our practical framework, self-audit and other free resources can be downloaded without giving us any personal information. We do not receive a completed self-audit, or anything you write in it, unless you choose to send it to us.

When you enrol in or complete a course

  • your name and email address

  • your employer or organisation name (where you provide it)

  • your course progress, assessment answers and results

  • the date you completed the course and details of any certificate we issue to you

When you buy a course

  • your billing name and email address

  • a transaction reference from our payment provider

When you buy laser safety eyewear

  • your name, organisation, email address and phone number

  • your delivery address and order details

  • information about your lasers, such as wavelength and output, that you give us so we can help you choose suitable eyewear

When you contact us

  • your name, email address and phone number (if you provide it), and the content of your enquiry

When you visit our website

We do not use cookies, analytics or advertising trackers on lasersafetycompliance.com.au (see section 8). Like most websites, our website host may automatically record standard technical information in server logs, such as your IP address, browser type and the pages requested, to keep the website secure and working. We do not use this information to identify you.

We never collect, see or store your credit or debit card details. Payments are processed directly by our payment providers (see section 5). We do not collect sensitive information as defined in the Privacy Act, such as health or biometric information.

3. How we collect your information

We collect information directly from you when you enrol in a course, place an order, make a purchase or contact us. The only information collected automatically on our website is the server log information described in section 2. Our course platform also collects some technical information automatically (see section 8).

If you give us another person's details (for example, an employer enrolling staff or ordering eyewear for a team), you must have that person's consent to do so.

4. Why we collect and use your information

We use personal information to:

  • give you access to courses you have enrolled in, and record your progress and assessment results

  • issue and verify certificates of completion

  • process, deliver and support eyewear orders, including helping you choose suitable eyewear and handling returns or warranty claims

  • process payments and issue receipts or tax invoices

  • respond to your enquiries, including questions about our free resources

  • send you administrative messages, such as enrolment confirmations, order updates, receipts and certificates

  • verify the authenticity of a certificate if you or your employer asks us to, or if a regulator requests confirmation

  • improve our website, resources, courses and services

  • meet our legal, tax and record-keeping obligations

We do not currently send marketing or promotional emails. If we introduce them in future, we will send them only to people who have opted in, and every such email will include an unsubscribe link.

We will not use your personal information for a purpose unrelated to those above without telling you or obtaining your consent.

5. Who we share your information with

We do not sell your personal information. We share it only with service providers who help us run our business, and only to the extent they need:

  • LearnWorlds, our online course platform, which hosts course content, enrolments, progress records and certificates

  • Payment providers (Stripe and PayPal), which process your payment and handle all card data directly under their own privacy policies

  • Email providers, which deliver our emails and administrative messages

  • Our website hosting provider, which hosts our website and its server logs

  • Couriers and postal services, which receive your name, delivery address and phone number to deliver eyewear orders

  • Eyewear manufacturers and suppliers, which receive the order details needed to supply your eyewear, such as size and laser parameters

  • Our accountant and professional advisers, where reasonably required

We may also disclose your information where required or authorised by law, including to a court, tribunal, or a state or territory work health and safety or radiation safety regulator. For example, if you rely on one of our certificates to support an application to a regulator, the regulator may ask us to confirm your enrolment, assessment results or completion details.

6. Overseas storage and disclosure

Some of our service providers store or process data outside Australia.

Our course platform, LearnWorlds, is operated by a provider based in the European Union and hosts data on Google Cloud Platform infrastructure, including data centres in the United States and the European Union. Our payment, email and website hosting providers may also store or process data overseas, including in the United States and the European Union. Where an eyewear order is supplied by an overseas manufacturer or supplier, we may give them the details needed to fill and ship your order.

By providing your personal information to us, you consent to it being stored and processed overseas as described above. We take reasonable steps to ensure our providers handle your information consistently with the Australian Privacy Principles, but privacy laws in those countries may differ from Australian law.

7. How we protect your information

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These include:

  • using reputable platform and payment providers that encrypt data in transit and at rest

  • serving our website over HTTPS

  • restricting administrative access to those who need it

  • using strong, unique passwords and multi-factor authentication on our administrative accounts

  • never storing card details ourselves

No method of transmission or storage over the internet is completely secure, so we cannot guarantee absolute security. If we become aware of a data breach that is likely to result in serious harm, we will assess it and, where required, notify affected individuals and the Office of the Australian Information Commissioner.

8. Cookies

Our website. lasersafetycompliance.com.au does not use cookies. We do not use analytics, advertising or tracking technologies on our website, and we do not build advertising profiles or track you across other websites.

Our course platform. Our online courses are hosted by LearnWorlds on a separate platform. LearnWorlds uses cookies and similar technologies, for example to keep you logged in to your course, remember your preferences and keep your session secure. Cookies on the course platform are governed by LearnWorlds' own privacy and cookie policies, which are available on the course platform. You can disable or delete cookies in your browser settings, but if you do, course access may not work correctly.

9. How long we keep your information

  • Training and certification records (your name, course completed, assessment result and completion date) are kept for at least 7 years, so we can verify a certificate if you, your employer or a regulator asks, and meet our record-keeping obligations.

  • Financial, transaction and order records are kept for at least 5 years, as required by Australian taxation law, and for as long as needed to handle warranty claims.

  • Enquiry correspondence is kept until it is no longer needed, or until you ask us to remove it.

When information is no longer needed and we are not required to keep it, we destroy or de-identify it.

10. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date or incomplete. Contact us using the details in section 13.

We will respond within a reasonable period, normally within 30 days. There is no fee for making a request, although we may charge a reasonable cost for retrieving and providing extensive information. If we refuse a request, we will explain why in writing.

You can also ask us to delete your information. We will do so unless we are required to keep it, for example the certification and financial records described in section 9.

11. Children

Our website, resources, courses and products are intended for adults in workplace settings. We do not knowingly collect personal information from anyone under 18. If you believe we have done so, please contact us and we will delete it.

12. Links to other websites

Our website and free resources link to websites run by others, such as regulators, legislation databases and research publishers. We are not responsible for the privacy practices of those websites, and we encourage you to read their privacy policies.

We may update this policy from time to time. The current version will always be available at lasersafetycompliance.com.au, with the date it was last updated shown at the top. We will notify enrolled learners of material changes by email.
